Recruitment collection notice
Updated 20 October 2026 · JARVE Painting
Who collects your information
JARVE Painting, ABN 31 583 750 824, collects information to assess applications, contact applicants and referees, verify role requirements and manage recruitment. James manages recruitment.
What we ask for and why
We ask for your contact details, requested role, relevant qualifications and experience, availability, work-rights and transport information, expected pay and at least two referees. Required fields must be completed to submit. An eligibility answer does not automatically reject your application; James reviews suitability.
A résumé is optional. You can attach a PDF or Word (.docx) file up to 4 MB, or describe your work history in the form instead. An attached résumé is kept in private storage that only James can open, and each viewing is logged.
Please tell your referees you have provided their details. We may contact them after submission, respecting any “contact me first” restriction you select. We may also obtain relevant information from qualification issuers and authorised checking providers with the necessary permission.
Shortlisted applicants show their original licence, qualification and work-rights documents, and any required check information, to James in person. We record that we checked them and do not keep copies. A private page lets you tell us what you will bring or explain anything still pending. If we offer secure upload instead, uploaded files are kept in private storage and scanned before they are stored. Do not put identity documents, police reports, medication details or unrelated sensitive information in your résumé, work history or email. A willingness-to-test answer is not consent to a particular test.
Complete the application in one sitting. You can request a correction privately; we keep the original and corrected information with a record of the change. The corrected information is used once verified.
Access, service providers and overseas handling
Access is limited to authorised recruitment administration and service providers needed to operate the process. The application uses Supabase for database and file storage, Vercel for website hosting and Resend for recruitment email. The configured JARVE Supabase project is in Sydney, Australia. This does not mean all provider support, logs, email or backup processing remains in Australia.
Our Vercel website functions run in the United States, so the details you submit and any file you attach pass through the United States on their way to storage. Resend processes recruitment email in the United States and retains message content and delivery records under its 30-day plan retention. Our Supabase plan keeps seven days of daily database backups; those backups do not include uploaded file contents. Provider support and subprocessors may operate in other countries.
We do not sell applicant information. Optional future-vacancy consent is separate from this application and does not subscribe you to marketing. We do not use an automated system to make final hiring decisions.
How long we keep it
Unsuccessful recruitment records are deleted three months after the decision, except for a documented retention obligation. If you opt into future vacancies, we keep only contact details, résumé, role interests and relevant assessment notes for 12 months from opt-in. Keeping that subset longer requires renewed consent; viewing the record does not restart the period. Identity documents and check reports are excluded.
An application that is still open, or that we received before this application form, is deleted after 12 months with no activity. Activity means you applying or updating your application, or us changing its status or recording a step in the process. Viewing the record does not count. An application that leads to a hire follows the handover schedule below instead.
Withdrawal stops pending recruitment emails and reminders immediately. Ordinary withdrawn records are deleted within 30 days, subject to a documented necessary hold. Duplicate identity/check documents are deleted within 30 days of verification or recruitment closure, whichever occurs first, unless a specific requirement applies. Necessary verification records may follow a separate documented legal or employment schedule.
Unfinished application sessions and files that were uploaded but not used in a submitted application, including earlier versions of a résumé you replaced, are removed within two days. If hired, necessary records move to employment records; redundant recruitment copies are deleted within 30 days of handover. Database backups expire after seven days, and deletion instructions are reapplied if a backup is ever restored.
Questions, corrections or withdrawal
Contact james@jarvepainting.com.au to request access, a correction, withdrawal, removal from the talent pool or to raise a privacy complaint. Include your application reference if available; do not email identity documents. We verify your identity before disclosing or changing records and explain any information we must retain.
We aim to acknowledge requests within five business days and respond within 30 days. If more time is needed, we will explain why. You can also contact the Office of the Australian Information Commissioner for information about privacy complaints and whether it can assist.
